Managing User Roles & Permissions

User Permissions allow you to grant or restrict certain access and capabilities for different team members.

Please note that any change you make for a user will affect their permissions for every account they are added to. If you would like to restrict their permissions for a service provider, you may want to reach out and see if they want to be added under a different email address to your account.

Getting Started with User Permissions

To manage users' permissions for a sub-account, 

  • Navigate to Settings > My Staff.
  • Click on the edit icon for the user whose permissions you want to edit.
  • Click on 'Roles & Permissions' in the left menu.

Restrict Visibility to Assigned Data

For user role 'User', you may restrict the user's access to the records assigned to him/her only. For example, if you have two sales members in your team and do not want them to see each others' leads or contacts, you may select 'Only assigned data'. In order for them to see a lead or a contact, the lead or contact needs to be Assigned to them either through the contact record, conversations or through a workflow.

Assigning Permissions

Admins can apply granular permissions to their users. You may control the permissions at two levels:

  • Module: Toggle the module off to completely restrict access to the module.
  • Granular: Using checkboxes, you can set the permissions at a more granular level.

The new permissions structure is backward compatible with the old set of permission structures and their functionalities. No existing user permissions have changed with the addition of granular permissions.

Copy Permissions

Sub-account admins can copy a user’s granular permissions to another user. For example, when Susie joins the sales team, the admin can clone Alex’s permissions to Susie. To do this, you would go into Susie's user and click the Copy Permission button then select Alex's name from the dropdown and click apply.
