How to Manually Add a Group of Contacts to a Workflow
This article outlines the steps for manually adding a group of contacts to a workflow.
Here is our tutorial showing how to set up a clean deliverability smart list: Getting Started With Smart Lists > Setting Up a Smart List
Steps:
1. Access Contacts
- Click on 'Contacts' on the left side menu.
2. Select the Contacts You Want to Add to Your Workflow
- Select your 'Clean Deliverability Filter' smart list if you will be sending emails through your workflow.
- If you haven't created this smart list already, here is our tutorial showing how to set up a clean deliverability smart list: Getting Started With Smart Lists > Setting Up a Smart List
- This filter helps exclude:
- Unsubscribed contacts
- Contacts who marked emails as spam
- Contacts with previous email bounces ( most commonly due to an invalid email address of a full inbox ).
- The goal is to send emails only to people who want to receive them.
- If you will not be sending an email through your workflow you could filter contacts by something else, like a Tag for example.
- Click on 'More Filters' to filter contacts by a specific tag.
- Enter the word "tag" in the search bar, and select the "Tag" option from the menu.
- Then, select the tag you want to filter by.
- After you chose your filter ( smart list, tag, etc. ), you can select all contacts on the page by checking the box in the upper left hand corner.
- To select all the contact who meet your filter criteria, even if they are not on the first page, you can select the blue text that says "Select all X records."
3. Initiate Add to Automation
- Click the play button icon at the top to add selected contacts to automation.
4. Name the Bulk Action
- Provide a name for this bulk action (e.g., 'Add to [ Workflow Name ]').
- Ensure the automation type is set to 'Workflow'.
5. Select Your Workflow
- Choose the workflow you want to add contacts to.
- Ensure the workflow is "Published" so it will appear in the list.
6. Set Drip Mode ( Batch Quantity )
- Set the contacts to be added to the workflow in 'drip mode.'
7. Choose Start Date and Time
- Select today's date or a future date for sending emails.
- Specify the time for sending.
8. Set Batch Quantity and Repeat Frequency
- Define how many contacts to add at once (e.g., 5 contacts).
- Set the repeat frequency (e.g., every 1 minute).
- In this example I'm adding 5 contacts t the workflow every one minute. However you can increase the batch quantity if you need to. If you have a brand new email sending subdomain, we do not recommend exceeding:
- Batch Quantity: 20
- Repeat After 1 Minute
9. Leave "Send On" and "Process Between Hours" Settings Set to the Defaults
- Do not change these settings to avoid spreading actions across multiple days.
10. Add the Contact to the Workflow
- Click 'Add to Automation' to initiate the process of adding the contacts to the workflow.
11. Check Progress of Bulk Action
- Click 'Check Progress' to view the status of the bulk action.
- You can see stats and details of the action.
- Options available:
- Pause the action if needed.
- Cancel the action if you no longer want to proceed.
- Edit the batch quantity if necessary.
Cautionary Notes:
- Make sure that the contacts you selected are the ones you want to add to the workflow.
- Double-check the start time and batch quantity settings to avoid any errors.
